The International Pressure Equipment Integrity Association (IPEIA) is a not-for-profit organization, comprised of individuals active in the pressure equipment industry and related educational groups. IPEIA leads and sustains an interconnected community which supports our industry, enhances safety and innovation among industries, and promotes awareness, learning, and teamwork with all stakeholders.

Through collaboration between of volunteers and supporting staff, IPEIA offers an online platform and network which provides its membership with ongoing access to technical presentations, education opportunities, a professional networking community, engagement with the Regulators and Industry Groups, code updates, new technologies, and forums to solve industry concerns.

For over 28 years, IPEIA has hosted an annual internationally attended conference and exhibition, which has united students, educators, vendors, equipment owner-users, regulatory bodies, and more, to ensure the continual growth and safety of the pressure equipment industry. Over the course of four days, the conference and exhibition allow for new technologies to be showcased, networking amongst industry professions, students to access future employers and mentors, knowledge to be shared, and so much more!

Opportunity – IPEIA Operations Coordinator, PT Hybrid Role

IPEIA’s Operations Coordinator will report to IPEIA’s Operations Manager, and oversee all administrative services, coordinate all webinars, and provide logistical support, while demonstrating outstanding customer care. In addition, they will provide supervision/delegation for the IPEIA Administrative Assistant and support IPEIA’s volunteer-based association.

These tasks include, but are not exclusive to:

  • Supervision/delegation of tasks/training and support for IPEIA Administrative Assistant
  • Oversight for all volunteer meetings to be properly set up, recorded, and managed by the Administrative Assistant
  • Provide administrative services for all IPEIA Industry Groups, including quarterly meeting organization, minutes, membership tracking, sponsorship/financial support, and as needed
  • Manage and support Membership Tracking
  • Systems and tools Coordinator for:
    • IPEIA document management tool – MS TEAMS 
    • IPEIA Membership self-serve portal:
      • Registration system
      • APART system 
      • Past Presentations
      • Webinar registration
    • Sponsorship and Exhibition tracking/reporting
  • Marketing & Communications – build, organize and support:
    • Manage IPEIA’s website updates coordinated through our creative house
    • Email communication 
    • Distribution Memberships Lists 
    • Social Media platform – backup for IPEIA Administrative Assistant
  • Conference App – develop, manage and implement
  • Webinar support for Operations Manager (Producer) as directed:
    • Provide support and training on behalf of webinar producer as needed
    • Schedule all webinars and trials
    • Prepare webinar materials, including communications, emails, scripts, and presentations (using templates provided)
    • Organize and maintain the collection of presenter and Subject Matter Expert information.
    • With the support of the Administrative Assistant, review all attendees of webinars to keep exclusive to IPEIA members only
    • Provide back-up Co-Moderator support for webinars, with potential for long-term transition as primary Co-Moderator
    • Create and upload all webinar reports and recordings, and provide summary of details post event.
    • Support Conference Manager and execute all tasks assigned
  • Conference Coordination Support for:
    • Provide support as directed for specific conference related tasks by Conference Manager
    • On-site support during the week of the conference
    • Manage all Promo Codes and Staff Registrations
    • Prepare and distribute conference media package and invitation
    • Design and order all items required for Sponsorship items
    • Prepare all signage for conference
  • Work will primarily be completed remotely (in-person meetings may be held on occasion), while in-person conference support is mandatory for the IPEIA conference
  • IPEIA will provide laptop and other equipment as required for role
  • Other duties and tasks will be assigned by Operations Manager

Education and Skills Requirements:

  • Certificate, Diploma or Bachelor’s degree in Business, Office Administration, and/or other related fields is ideal but not required
  • Minimum of 3 years of work experience
  • Minimum of 3 years in a related operations position of leadership and customer care, with strong desire to learn
  • Marketing/communications experience considered an asset
  • On-line webinar and meeting management coordination with MS TEAMS and GoToWebinar platforms experience is an asset, but training will be offered to build these skills
  • Results-driven, self-motivated and an independent thinker
  • Detail-oriented and with excellent accuracy skills
  • Strong organizational and time-management skills
  • Must be able to work independently
  • Exceptional verbal and written communications
  • Strong customer service skills
  • Solid experience with Microsoft Office Suite
  • Must be able to work with a flexible work schedule.
    • Fixed fee pricing model 
    • Contract only position 
    • Part time hours – approx. 1020 per year.
    • Availability must be primarily during the week within “work day hours” (ie: between 8am to 5pm MT)
